Our multi-disciplinary team of therapists thrives on making a difference — and we’re looking for an organised, proactive, and experienced Practice Manager to help keep everything running smoothly.
About the Role
As our Practice Manager, you will be the organisational backbone of our practice. You will handle the day-to-day administration, financial processes such as invoicing and reconciling, and customer relations that keep our operations flowing. Your role is to ensure our therapists can focus on delivering exceptional care, while you ensure the business side of things is managed efficiently, accurately, and professionally.
Key Responsibilities
- Client & Customer Relations:
- Be the friendly first point of contact for clients, families, and stakeholders
- Manage client enquiries and coordinate appointments
- Oversee client intake processes and maintain accurate records
- Financial Administration:
- Prepare and send invoices via Xero in line with NDIS guidelines
- Reconcile accounts and manage accounts receivable/payable
- Track and manage client funding and service agreements
- Track clients funding
- Payroll & HR Support:
- Process payroll accurately and on time
- Maintain staff records and leave balances
- Assist with onboarding and compliance requirements
- Operational Support:
- Manage documentation and reporting requirements for the NDIS
- Maintain practice systems and processes for efficiency
- Support the therapy team with administrative needs so they can focus on client care
- Coordinate resources and ensure the smooth running of the practice
About You
You are an experienced, organised, and proactive administrator with a talent for juggling multiple priorities. You thrive in a small team environment where your input makes a real difference every day. You enjoy working autonomously and creating systems to solve everyday problems. You are kind and patient and enjoy supporting others.
Essential Skills & Experience:
- Proven experience in practice management, office administration, or similar role
- Strong skills in Xero for invoicing, reconciliation, and payroll
- Experience working with NDIS systems, service agreements, and funding tracking
- Excellent communication and customer service skills
- Strong attention to detail and organisational skills
- Ability to work independently and as part of a team
- Proficient in Microsoft Office and/or Google Workspace
Essential Requirements:
- Current Working With Children Check (WWCC)
- Current Australian Driver’s Licence
